Month-end accounts payable in Zoho Books rarely fails on one big mistake. It fails on small ones: a bill approved after the payment run, a vendor whose banking details were never entered, a payment file generated with last month's date, a bank statement that does not match the vendor payments posted in Zoho Books. Each one costs a follow-up email, a correction and a little trust.
A month-end accounts payable checklist removes those small decisions from memory and puts them in order. This one is written for teams that pay Canadian vendors by EFT from Zoho Books, with or without Zefty. Where a step is specific to Zefty, we say so.
Why a checklist beats a good memory
Accounts payable is repetitive, which is exactly why it is easy to skip a step. The person who runs payments in March is not always the person who runs them in April. Vacations, staff changes and a busy quarter-end all interrupt the routine.
A written checklist gives you three things:
- Consistency. The same steps, in the same order, every month.
- Hand-off. Anyone with access can run the close.
- Evidence. A completed checklist is part of your audit trail.
Keep it short enough that people actually use it. The version below has fourteen steps in three phases.
Phase 1: the week before close, get the data in order
1. Sync Zoho Books. Your payment tool should see the same bills your accountant sees. In Zefty, a nightly sync runs at 2 a.m. and you can click Sync with Zoho at any time. Run a manual sync before you start reviewing so you are not working from yesterday's list.
2. Check the "Last sync" time on the Dashboard. If it is older than you expect, look at the sync progress widget before going further. A sync that stalled is a data problem waiting to become a payment problem.
3. Review vendors missing banking information. Open the Vendors screen. Any vendor flagged with Missing banking information cannot be paid by EFT. Fix the details in Zoho Books (bank account or custom fields), then sync again. Doing this a week early gives vendors time to answer if you need to ask for a void cheque.
4. Confirm the active custom view. If you use a Zoho Books custom view to control which bills flow into your payment list (for example, "Approved for payment"), confirm it is still the active view. A view that was changed for a one-off project in the middle of the month will surprise you at close.
5. Approve bills in Zoho Books, not in your inbox. Every bill you intend to pay should be entered and approved in Zoho Books before the run. Bills that live in an email thread do not get paid on time and do not get accrued correctly.
Phase 2: the payment run
6. Filter by due date and balance. On the Bills screen, sort by Due Date and look at the Balance column, not just the total. Partially paid bills show the remaining balance, which is the amount you are actually deciding on.
7. Decide on partial payments deliberately. If cash flow means paying part of a large bill, enter the amount in the Partial Payment column rather than skipping the bill. The remaining balance stays visible for next month.
8. Watch the "Selected Total" as you go. The live total at the top of the table is your control figure. Compare it with the cash you have set aside for the run before you generate anything.
9. Set the payment date carefully. When you click Generate Payment File, Zefty asks for a Payment Date. This date goes into the EFT 1464 file and tells the bank when to settle. For a month-end run, decide in advance whether the payments should settle in the current month or the next one, and use the same rule every month.
10. Check whether Test Mode is on. The Test Mode ON badge is visible in the navigation when it is enabled. Test files are marked as tests and payments are not posted back to Zoho Books. That is exactly what you want for a dry run and exactly what you do not want at close.
11. Upload the file to your bank and keep the confirmation. The EFT 1464 file is downloaded from the Report screen. Upload it through your bank's business portal, then save the bank's acknowledgement with the file number. Rejections usually appear within hours, so plan the run early in the day.
Phase 3: after the run, reconcile and document
12. Confirm the write-back to Zoho Books. Once the file is generated (outside test mode), Zefty posts a Vendor Payment to Zoho Books for each bill with the payment mode "Zefty EFT 1464". Check the History screen: each paid bill should show a Zoho Payment ID. If one is missing, that bill needs attention before you close.
13. Download the PDF report for the file. The Report screen offers a Download PDF Report for every export. It lists every record in the file, field by field. File it with the bank confirmation. If a vendor ever asks "when did you pay us and to which account", the answer is there.
14. Match the bank statement. When the payments clear, match the total against the export total on the Report screen. Differences almost always come from a rejected item or a partial payment that was entered incorrectly. Finding them now is cheaper than finding them at year-end.
The checklist at a glance
| Step | Where | Why it matters |
|---|---|---|
| Manual sync before review | Dashboard / Bills | Work from current data |
| Verify last sync time | Dashboard | Catch stalled syncs early |
| Fix "Missing banking information" | Vendors, then Zoho Books | Blocked vendors cannot be paid |
| Confirm active custom view | Views | Right bills in the list |
| Approve bills in Zoho Books | Zoho Books | Nothing paid from an inbox |
| Sort by due date, read the balance | Bills | Pay what is owed, not what was billed |
| Enter partial payments explicitly | Bills | Keep remaining balances visible |
| Compare Selected Total with cash | Bills | Control figure before generating |
| Set the payment date rule | Generate Payment File | Consistent settlement month |
| Confirm Test Mode is off | Navigation badge | Real payments post to Zoho Books |
| Upload file, keep confirmation | Bank portal | Evidence of submission |
| Verify Zoho Payment IDs | History | Write-back complete |
| Save the PDF report | Report | Field-level audit trail |
| Match the bank statement | Report vs bank | Close with clean numbers |
Key takeaways
- Sync first, review second. Never build a payment run on stale data.
- Missing vendor banking details are the most common blocker. Fix them a week early.
- Use the Balance column and the Selected Total as your control figures.
- Decide your payment date rule once and apply it every month.
- The PDF report and the Zoho Payment ID in History are your audit trail. Keep both.
Accounting firms and bookkeepers who close several clients each month use this checklist as a template and adjust the payment date rule per client. If that is your situation, see how Zefty supports accountants and bookkeepers running EFT payments from Zoho Books for multiple organizations.
